Reducing 5 days of vessel waiting time at a leading APAC Port with Kale’s Port Community System

Our client is a significant maritime trade hub in the Asia Pacific region. By the end of 2024, the port handled 14.83 million TEUs, a 5.5 per cent increase over its 2023 numbers. Its importance in worldwide trade is enormous, and it is among the busiest container ports in the world.

Multiple agencies & multiple days

Despite being one of the busiest container port in the world, they faced delays due to the involvement of multiple agencies in the shipment clearance process. Eventually, the same took nearly five days, increasing vessel congestion. In addition, physical documentation consumed more days, thereby adding to the complexities.

IMO’s mandate as an opportunity

The International Maritime Organisation (IMO)’s FAL convention meeting in May 2022 came with a mandate of compulsory Maritime Single Window implementation at all ports worldwide. This is an opportunity for all ports to streamline their operations. Port authority witnessed this as an opportunity to step up its game.

Need for an optimised shipment clearance process

The foremost challenge in scaling port operations further is the long shipment clearance process time. Hence, digitising this process was the foremost priority for the port.

Most importantly, this is the first time they chose to go digital, and they prefer to make it sustainable. Therefore, making way for a framework was mandatory.

Intervention of Kale’s technological prowess

Kale Logistics Solutions developed its flagship Port Community System (PCS) to facilitate faster clearance of vessels into the port and share advanced information. Kale implemented the ready-to-use Maritime Single Window platform (compliant with IMO standards and enabling the electronic transfer of information and documentation between maritime and port stakeholders) at the port.

Through this system, ship clearance was made online with a QR-coded system. Upon arrival, the vessel can quickly scan through the QR code and dock in. Also, the prior information on the vessel crew was shared before the ship’s arrival. Through this processing, the entry upon arrival was made simple.

The system’s real-time updates and automated approvals have streamlined operations, eliminated redundant paperwork, and enhanced coordination among multiple agencies. Overall, Kale’s technological prowess intervention has proved beneficial for the port’s stakeholders.

Outcome and Impact

  • Improved Efficiency: The deployment of PCS significantly reduced the time and resources spent on manual processes, thus enhancing the efficiency of the port operations.
  • Strengthened Security: By incorporating advanced security features, the system ensured that sensitive information was protected, building confidence among stakeholders in handling their data.
  • Enhanced International Connectivity: PCS has begun solving many trade-related challenges, promoting smoother operations and increased connectivity with international logistics frameworks.

Feedback and Future Directions

  • Continued Development: Introducing “silver bullet” solutions capable of revolutionising current operations. Although challenging, Kale’s experience, knowledge, and familiarity with regional and global logistics are expected to drive innovative solutions.
  • Commitment to Excellence: The partnership between the Port and Kale Logistics remains committed to continuous improvement and innovation, focusing on developing integrated systems that fulfil the complex needs of modern port operations.
